Examples of Proper ID

When notarizing documents, proper ID is required from each person signing the documents.  The Notary Public will ask to see a current identification document that has a photograph, physical description, and a signature.

Examples of Proper ID:

Driver's License

State-Issued Identification Card

U.S. Passport

U.S. Military ID Card

  -- or --

At least one Credible Witness, if no ID is available.  A credible witness is someone who has agreed to legally vouch for the signer’s identity when they cannot produce valid identification for themselves. The credible witness must be impartial and be exempt from receiving financial gain or any other benefit related to notarizing the document.  Credible witnesses will be required to sign a sworn affidavit.

The Document

The document should have text within the document committing the signer in some way.  The signature must be original, no photocopies, and if taking an oath, must be signed in front of the Notary.  The notary will complete the document or an attached  notarial certificate.

Notaries are not responsible for the accuracy or legality of documents they notarize. A Notary's job is to certify the identity of the signer(s).

Notary Public's Role

The Notary Public is a person legally authorized by the state to administer oaths, take acknowledgments, and certify documents.  The Notary must ensure that a person signing a document to be notarized is who she/he says they are.  Because identities are critical, the Notary may also spend time verifying the names and the identity of the parties.  Signers may be asked for a sworn oath of authenticity.

Notary Stamp/Seal

The signature and seal/stamp are evidence that the signature of the Notary is genuine and that the person is a notary public.  A notary public's signature and stamp are required to authenticate the signatures on documents.
